Terms and Conditions

Registration Upgrades and Downgrades

  1. Registrations cannot be downgraded from Full Registration to Partial Registration.
  2. Upgrades from Partial Registration to Full Registration will be granted at the discretion of the Management.  When authorised, the Full Registration fee of CAD$245 is applicable and any difference between that fee and previously paid registrations must be paid.

Refund Policy

  1. No refunds are automatically granted.  Refunds are made at the discretion of the GOLD12 Conference Manager.
  2. All requests for refunds must be received no later than 12:01am April 15th, 2012 (Pacific Standard Time).  No refunds will be granted after that time.
  3. A handling fee of CAD$40 will be deducted from each refund.
  4. Refunds will not be granted if a delegate fails to attend the conference (not logging into the site).
  5. Refunds will not be granted because of a delegate's software incompatibility or technical failure (see Technology below).

Individual Delegate Substitutions

  1. Delegates may request a substitute for their registration up to 12:01am April 15th, 2012 (PacificStandard Time). This request must be emailed to This e-mail address is being protected from spambots. You need JavaScript enabled to view it .

Groups

  1. Once a Group has been registered (paid or ordered), additional delegates cannot be added later. Additional delegates must form another group or register as individuals.
  2. If an order is placed for a group, passwords will not be issued until payment has been received for that order.

Accreditation / CERPS

  1. CERPs will be applied for - the organisers have no control over exact amount or type of CERPs awarded by IBLCE for the Conference.
  2. In order to receive accreditation for a particular presentation delegates must be loged-in with their own username & password.
  3. It is the delegates' responsibility to collect their own Certificates.
  4. Certificates can be collected anytime after the opening of the Conference once a delegate has completed their educational goals.
  5. Certificates are automatically generated once a delegate has completed their attendance form.  Attendance forms can be checked off on an ongoing basis or once the delegate has viewed all Sessions of interest.
  6. Certificate collecting deadline is 11:59pm Saturday June 30th, 2012 (Pacific Standard Time).
  7. Late or replacement Certificates will be subject to an administrative fee of CAD$40.00

Room Capacities for Full Registration Delegates

  1. There is a limitation of 200 participants per live session (including the Presenter(s) and GOLD12 Support staff).
  2. Seats will be allocated on a first-come first-served basis.  Conference rooms will open approximately 15 minutes prior to the scheduled start.
  3. Neither paying the "Full Registration" Conference fee, nor filling in a Conference plan (on the Schedule page) will guarantee you a seat in a particular session.
  4. The organisers have taken measures to mitigate the effects of this for delegates:
    • There will be three concurrent sessions running at all times.  This means that, on average, the demand for one particular session will be two-thirds less, and should a session still fill up, you will have a choice of two other sessions.
    • All sessions will be repeated live 2 hours after the start of the first one.
    • All sessions are recorded and will be available for viewing for the duration of the conference.

Technology

  1. GOLD12 Technical staff will provide online technical support for delegates during the Conference, but are not responsible for ensuring that a delegate's computer specifications and internet configuration enable them to participate in GOLD12 online activities and resources.
  2. Delegates are strongly advised to ensure that their computer and software configuration meet the following specifications:
    • Adobe Flash Player 8 or higher.  You can download this for free at http://get.adobe.com/flashplayer.
    • Minimum Internet connection speed:  At least 56.6kbps is recommended.
    • Speakers or a headset.
  3. Lower Internet connection speeds will affect the quality of your GOLD experience.

GOLD12 Conference Timeline

  1. Opening Address will commence in late April 2012, exact date to be announced.  The opening address will be a complimentary event open to the general public.
  2. GOLD 12 begins on May 1st, 2012.
  3. Live Sessions occur between May 1st and May 4th 2012.
  4. Presentations will be available via recording bewteen May 1st - 31st, 2012. Presentations will not be available after May 31st, 2012.
  5. Cultural Sessions & Forums will be available May 1st to June 15th, 2012.
  6. Certificates must be collected by 11:59pm Saturday, June 30th, 2012 (Pacific Standard Time).
